NMSU Analytics (Powered by IBM Cognos) - How to Run Report & Copy Report from Team Content to My Content
This article provides users with step-by-step instructions on how to run report, copy report from Team Content to My Content, use varieties of Prompts, and manage Service Response Consideration.
Run Report
This section provides the user with a detailed instruction(s) on how run a report.
Step 1:
Navigate to the left side Navigation Tool Bar, next, click on the Team Content folder.

Step 2:
Next, click on your "preferred report".

Note: In this example you can see the bread crumb trail navigation. The bread crumb trail shows ALL REPORTS then Budget and finally Athletics.
Step 3:
Next, move the cursor down to a report name to highlight it in Gray.
Next, to the far right of the report name click on the ellipses (…) to open the menu options.

Step 4:
Next, click on the Run as option.

Step 5:
Next, navigate to the lower-right hand corner and click on the Run button.
Note: To see all the Report Format outputs click here Table 1.

Step 6:
Next, the report is displayed on the screen. The name of the report BU Athletics – Exhibit 21 is in the center Switcher Bar.
Note: The upper left-hand corner of the Application Tool bar has new icons to Save, Edit, and Run As to run the report again.
The new icons are

- Edit
- Run
- Switcher Menu opens a new panel with your report

Copy report from Team Content to My Content
This section provides users with step-by-step instructions on how to copy a report from Team Content to My Content
Step 1:
In the left-hand Navigation Tool Bar click on Team Content. Next, navigate to your preferred report.
Note: In this example navigate to ALL REPORTS, then, BFHR, then, RA/BFHR.

Step 2:
Hover your mouse over report named “HR-D….” Next, click on the ellipses (…) to the right of the name.

Step 3:
Navigate to the options list. Next, click on Copy.

Step 4:
At the top of the Select a "Destination column" click on the folder icon My Content > in the lower-right hand corner
click on Copy to.

Step 5:
The Switcher Menu in the center of the Application Bar gives you a message that says, “HR-LD-287B Labor Expense Detail (Admin) was copied.”

Prompts
This section provides users with step-by-step instructions on how to use a variety of report prompts.Most reports will display a prompt page once you send the request. The prompt makes reports versatile for users. Prompts limiting the data coming back from the database and makes the reports run much more quickly for the user.
Step 1:Navigate to the Navigation Tool Bar, click on Team Content go to your preferred report. In this example Navigate to Team Content > ALL REPORTS > Administrative > Research > Research RA-SPA-EEC Certifiers Tracking (Admin). Next, navigate to the far right-hand corner and click on the ellipses (…) to open the report menu. Next, click on Run As.

Step 2:Next, navigate to the lower right-hand corner of the "Run as" panel and click on the Run button.

Step 3:Navigate to the top center of the report to the Print prompt. Next, click on the first radio button labeled “Print Certifier Tracking Lists.”- Prompts can be mandatory or optional.
- A red asterisk * indicates this prompt is mandatory.
Note: A red asterisk * means that the Prompt is mandatory. Mandatory prompts are required to enable the Finish button.

Step 4:Next, navigate to the Prompt labeled “Select an effort report period:” Next, navigate to the text box labeled “Keywords:” and type in “2008”.

Step 5:Next, click on the blue link that is the word Options (in blue) to open Options.After, select the Radio Button option labeled “Contains any of these keywords.”

Step 6:Under “Select an effort report period,” provide year in the "Keyword field," then click on the Search button.

Step 7:Next, navigate to the Prompt *Choice and click on “JULY – DECEMBER 2008” to select it.

Step 8:Navigate to the bottom of prompt on the lower left-hand corner labeled “Report with Comments:” and select the radio button for “Yes.” Next, navigate to the lower right-hand corner labeled “Report with Signature Block” and select the radio button for “Yes.”
Note: Some prompts only allow you to choose one value.

Step 9:After, click on Finish to access report. Note: The Finish button is disabled and grayed out until all mandatory prompts are selected.

Step 10:The report will be displayed in your current window. The top center Switcher Menu changes to the name of the report.


Step 2:
Next, navigate to the lower right-hand corner of the "Run as" panel and click on the Run button.

Step 3:
Navigate to the top center of the report to the Print prompt. Next, click on the first radio button labeled “Print Certifier Tracking Lists.”

Server Response Considerations
This section provides the user with step-by-step instructions on how to manage server processing time.
After the client runs a report, the server will gather the data and generate the report. Some response times are longer than others.
Step 1:
After the client starts a report, the “Your report is running” message dialog box may appear. This message means that the server is gathering the necessary data as n the image below:

Inside of the “Your report is running” message dialog box, click on the Select a delivery method (it is a blue link).

Inside the “Your report is running” message dialog box, click on the Save as Report View (it is a blue link).

Inside of the Save as report view click on the OK button.

Step 5:
From the left-hand Navigation Bar select the My Content folder and open the folders to the location to see the Report View and click on the Report View to see the report output.
Note: In this example the location, in from the earlier step, is at Navigation Bar > My Content > NMSU_ST_COMMON_CRS_XWLK > Report View of ST-R0504-CATALOG_1.

Step 6:
The Report View output is displayed on the Main Application Portal.
In the top center of the Application Bar the Switcher Menu creates a panel with the Report View Name and the report view output.
The report view can be referred to in the future after you close the report.

Step 7:
If you need to cancel the report, inside of the “Your report is running” dialog box click on the Cancel button to cancel the report.
Note: The client should not close the browser session (Internet Explorer, Firefox) without letting the report complete or canceling it.
If you neglect to do one of these actions, the server continues to gather data.
